ELECTIONS 2022: Election Committee – Updated Announcement

ANNOUNCEMENT OF THE ELECTIONS COMMITTEE
Community Elections on Sunday, June 12, 2022

Dear members of the Hellenic Community of Greater Montreal,

The election for the new Board of Directors of the Hellenic Community of Greater Montreal (HCGM), for the HCGM Montreal, Laval and South Shore Regional Councils as well as for the HCGM Audit Committee will be held only on Sunday, June 12, 2022, from 9:00 a.m. to 8:00 p.m. at the following polling stations:

  • Hellenic Community Center “Adrian Maris”
    5757 Wilderton Avenue, Montreal, Quebec, H3S 2K8
  • Holy Cross Church – Eglise Timios Stavros
    4865 du Souvenir, Laval, Québec, H7W 1E1
  • South Shore Community Center
    5220 Grande Allée, St-Hubert (South Shore), Quebec, J3Y1A1


Right to Vote

According to HCGM Bylaws (Articles 5.9, 5.10 and 5.11) persons wishing to vote in the HCGM elections of June 12, 2022, must meet the following conditions:

  • Be 18 (eighteen) years of age or older.
  • Be active members (have fulfilled their financial obligations regarding membership).
  • Inactive members whose membership has expired less than ONE year to election day will be able to pay their membership before or on election day in cash or by certified cheque ONLY.
  • Inactive members whose membership has expired more than ONE year from election day must have paid their membership at least 30 days before the election day, by May 13, 2022, to become active members.
  • Inactive members whose membership has expired more than ONE year from election day and who miss the May 13, 2022, deadline to renew their membership, can pay 2 (two) memberships on election day, for the12 months prior and the 12 months following, to become active members. Payment of memberships on election day must be in cash only or with a certified cheque.
  • New members must pay their membership by May 13, 2022.
  • No membership will be collected from June 2, 2022 to June 11, 2022, except as provided in Article 17.5.3 of the HCGM Bylaws (i.e. for performance of mysteria and for the entrance to Community General Meeting(s)).

 

Candidate Eligibility

Community members who are interested in running in the elections of June 12, 2022, for the Central Board of Directors, the Regional Councils and the Audit Committee, according to Article 7.5, 12.3, 16.6 of the HCGM Bylaws, must meet the following conditions:

  1. Be 18 (eighteen) years of age or older.
  2. Be active members of the Community.
  3. If they are inactive members and their membership has expired for less than ONE year, they must have paid their membership by the time they submit their candidacy to become active members.
  4. Inactive members whose membership has expired for more than ONE year must have paid their membership 30 days prior to submitting their application, or have paid two memberships, for the previous twelve months and the following twelve months, prior to the 28th of May, the last day for submitting applications, in order to become active members.
  5. New members must have paid for their membership one month before submitting their application.
  6. MUST not to be a member of the Board of Directors of another similar organization or parish.


Regional Councils

Candidates for Regional Councils must be residents of the region for which they are running.


Audit Committee

Candidates for the Audit Committee must be informed of the following:

Pursuant to Article 16.3 of the Rules of Procedure, they may not be members of the Board of Directors of the Community, of the Regional Councils or of the HCGM Advisory Board.

All candidates must submit their application form, signed by two active members of the HCGM, as well as a recent photograph (passport photo size) to the Election Commission no later than May 28, 2022, from 10:00 am to 2:00 p.m. at the offices of the Elections Committee, 5777 Wilderton, room 104.


 

Candidate Applications

Candidate Application Forms for the Board of Directors, the Regional Councils and the Audit Committee are available at the offices of the Elections Committee, 5777 Wilderton, room 104 and at the HCGM Membership Office, room 111.

The offices of the Elections Committee will be open every Tuesday from 6:30 p.m. until 9:00 p.m., on Friday, May 27, 2022, from 2:00 p.m. until 6:00 p.m. and on Saturday, May 28, 2022, from 10:00 a.m. until 2:00 p.m. for the receipt of candidate applications. For convenience, the Elections Committee has added two more dates for application submissions, being Thursday, May 19, 2022, from 6:30 p.m. to 8:30 p.m. and Thursday, May 26, 2022, from 6:30 p.m. until 8:30 p.m.

SUBMISSION OF CANDIDATE APPLICATIONS

IMPORTANT: All applicants must submit their candidacy in person and only to the Elections Committee at the hours listed above and show an official ID. The last day for submission of candidacy is Saturday, May 28, 2022, from 10:00 a.m. to 2:00 p.m.

Temporary Employees (for Election Day)

The Elections Committee will need the help of temporary staff to work on election day. Applicants must be over 18 years of age, HCGM members in good standing, and have sufficient knowledge of the Greek language as well as one of the official languages ​​of Canada (English or French). They also cannot be first-degree relatives of any of the candidates. These individuals will work under the guidance of the Elections Committee (Article 17.5.6 of the HCGM Bylaws). Remuneration for work will be the responsibility of HCGM.

Volunteers (for Election Day)

The Elections Committee will also need the help of volunteers to work on election day. Applicants must be over 18 years of age and have sufficient knowledge of the Greek language as well as one of the official languages ​​of Canada (English or French). These individuals will work under the guidance of the Elections Committee.

Representatives of candidates

According to the HCGM Bylaws, each team or independent candidate can appoint a representative for each Region (Montreal, Laval, South Shore) who will have access to the ballot counting area following the closing of the polling stations. Candidates’ representatives must complete a Candidate Representative Registration Form and submit it to the Election Commission no later than 12 noon on June 8, 2022.

Candidate Representative Registration Forms are available electronically at https://bit.ly/HCGMreps, at the HCGM Member Office, room 111 and at the Election Committee offices (5777 Wilderton, room 104), every Tuesday from 6:30 p.m. to 9:00 p.m., on Friday, May 27, 2022, from 2:00 p.m. to 6:00 p.m. and on Saturday, May 28, 2022, from 10:00 a.m. to 2:00 p.m.

For convenience, the Elections Committee has added two more dates for form submissions, on Thursday 19 May 2022, from 6:30 p.m. to 8:30 p.m. and on Thursday, May 26, 2022, from 6:30 p.m. to 8:30 p.m.

On Election Day (June 12, 2022), candidate representatives will need to obtain a coloured badge (available at registration) that allows access to the ballot counting area following the closing of the polling stations. No access will be granted without a badge. The use of cell phones for any purpose is prohibited and will be strictly enforced.


Media

By decision of the Elections Committee, media will be allowed in the ballot counting room at this year’s elections, in a designated area. Media participation is limited to an observer role during the ballot counting process. No questions or disruptions of any kind will be permitted until the Elections Committee has announced the results of the elections.

Media Representative Registration Forms are available online at https://bit.ly/HCGMmedia and must be submitted to the Elections Committee no later than 12 pm on June 8, 2022.

On Election Day (June 12, 2022), media representatives will need to obtain a coloured badge (available at registration) that allows for single-entry access to the observers’ area. No access will be granted without a badge. Also, the use of cell phones for any purpose is prohibited and will be strictly enforced.






Return of Member Registration Books

The HCGM employees who are in possession of the Membership Registration Books are requested to return them by May 13, 2022 (Friday) at 7:00 p.m. to the offices of HCGM in order for the membership books to be audited by the Elections Committee. Membership Books that are not returned by this date and time will be considered invalid.

After the 13th of May 2022, new Membership Books which will have been initialled and registered by the Elections Committee will only be available through the Elections Committee.

NOTE: It is the responsibility of members, candidates, and the witnesses of candidates’ applications to ensure that their names are on the electoral list. The electoral list of active members (in alphabetical order) will be published on the HCGM Community Bulletin Board (5777 Wilderton) on June 9, 2022.
